These Terms & Conditions apply to all stallholders trading at Caloundra Markets, including the Caloundra Street Fair, Twilight Markets and associated events operated by the Caloundra Chamber of Commerce.

By submitting an application, accepting a booking, or trading at any market, stallholders agree to comply with these Terms & Conditions, all operational instructions issued by Market Management, and all applicable laws and regulations.

Market Management reserve the right to change prices at any stage. Vendors are responsible for checking the website for updates to terms and pricing at all times. Management will provide a minimum of 14 days notice for any price increase or change.

Fees are determined by market, site size, and stall category. Prices are current as at May 2026 and are subject to change at any time.

Payment & Invoicing — Caloundra Street Fair

Caloundra Street Fair operates on a monthly permanent or weekly casual booking system. Invoices are issued either the month prior or a week prior to each event.

Strict Rule — No Exceptions: No payment = No site allocation = No trade. Vendors who arrive on market day without confirmed payment and site allocation will be asked to leave immediately.

Stallholder Parking

Parking is available on the top level of the Transit Centre in Cooma Terrace. Do not park within road closure areas, near market entrances, in Minchinton Street, Otranto Avenue, or in Lamkin Lane outside shops trading on Sunday.

General Terms & Conditions

The following terms apply to all stallholders across all Caloundra Markets events.

1. Contact Details

2. Stallholder Applications

Applications are reviewed within two weeks of receipt. Applicants are notified via email of the outcome. If accepted, you will be invited to provide anticipated trading dates which will be accommodated where possible.

It may be necessary to place applicants on a waiting list if a category is at capacity. Applications may be declined if the product, service, or stall presentation does not meet market standards, or if there is no availability in that category.

The Caloundra Chamber of Commerce supports local entertainment and has opportunities for paid and non-paid (busker) entertainment. All entertainment must be approved and scheduled by Market Management. If you are a community group and would like an opportunity to perform or showcase your creative assets, please get in touch with our Commercial Manager — dan@caloundrachamber.com.au. This includes theatre groups, choirs, bands, dance groups, and creative arts.

By submitting an application, you confirm that you have read and agreed to all Terms & Conditions.

3. Payment Terms

Note: Payment deadlines, invoice schedules, and booking structures vary by market. Please refer to the Payment & Invoicing section within your specific market tab above for the terms that apply to you. Market-specific terms take priority over the general terms below.

The following general payment conditions apply across all Caloundra Markets:

  • All bookings operate through the market's digital booking and invoicing system.
  • Payments must be made online via the invoice payment link.
  • Cash payments and direct deposits are not accepted.
  • Failure to pay by the due date may result in cancellation of the booking.
No payment = No site allocation = No trade.

If an invoice has not been received within the expected timeframe for your market, the stallholder must contact Market Management immediately. Do not assume a booking is confirmed without a paid, confirmed invoice.

4. Booking System

  • The Caloundra Chamber of Commerce booking system operates on date confirmation and invoicing.
  • The system does not track future non-attendance. It is the stallholder's responsibility to notify the Market Coordinator of any changes to attendance in a timely manner.
  • Stallholders are responsible for providing clear, accurate, and timely written communication regarding any attendance changes.

5. Communication Guidelines

  • The Market Coordinator's days off are normally Wednesday and Saturday. Only urgent communication via text may be possible on these days and is not guaranteed.
  • All booking-related emails must use one of the following subject line formats:
    • [Vendor/Stallholder Name] – XXXX Date Confirmation
    • [Vendor/Stallholder Name] – XXXX Date Cancellation / Non-Trading Notification
  • Clear subject lines help ensure bookings and cancellations are processed correctly and promptly.

6. Cancellations & Credits

Note: Cancellation fees, credit eligibility, and notice periods differ between markets. Please refer to the Cancellations & Credits section within your specific market tab above for the terms that apply to you. Market-specific terms take priority over the general terms below.

Stallholder Cancellations

  • Cancellation terms are market-specific — refer to your market tab above for applicable notice periods and fees.
  • Bookings are non-refundable and non-transferrable.
  • No-shows or stallholder cancellations made before an official market management cancellation are not eligible for credits.

Market Management Cancellations

  • Cancellation and credit conditions in the event of a market operator cancellation vary by market — refer to your market tab above.
  • If a market is cancelled 24 hours prior to market day due to adverse weather or safety concerns, Management may issue a credit. Credit eligibility and validity are subject to the terms of the specific market.
  • If cancellation occurs after trading has commenced, no refunds or credits will apply.
  • Market cancellation decisions are at the sole discretion of Management.

7. Stall Site Allocation & Placement

  • Site allocations are determined by Market Management and confirmed via email prior to market day.
  • Permanent sites are not available. Stallholders may request preferred locations, however no site is guaranteed.
  • Site changes or swaps are prohibited without Management approval.
  • Stallholders must not request neighbouring stalls to move. All concerns must be directed to Market Management.
  • All equipment, displays, and signage must remain within the allocated site boundaries.
  • Management reserves the right to relocate stalls where necessary.
  • All stallholders are to treat neighbouring stallholders with respect, courtesy, and cooperation at all times.
  • It is the stallholder's responsibility to follow up if a site allocation has not been received prior to the market.

8. Market Operations

  • Stallholders are responsible for setting up and packing down within designated times. Fees may be charged for non-compliance.
  • Stallholders must read and comply with all bump-in, bump-out, and operational instructions provided.
  • All directions issued by market staff must be followed to ensure the safety of stallholders, patrons, and staff.
  • Delays in site allocation may occur due to outstanding payments or outstanding booking changes and confirmations.

9. Vehicle Access & Parking

  • Vehicles must obey all directions from Traffic Controllers and Market Management.
  • Hazard lights must be used at all times within market precincts.
  • Vehicles must travel at walking pace only (maximum 10km/h).
  • Stallholder parking is available in designated areas only.
  • Stallholders must not park within road closure zones or restricted access areas.
  • Parking fines issued by Council or authorities are the responsibility of the stallholder.

10. Weather & Attendance Policy

Caloundra Markets are all-weather markets and will proceed unless cancelled by Management on safety grounds.

  • Inclement weather is not an excuse for non-attendance. Once a site is booked, stallholders have an obligation to attend.
  • Stallholders must plan for adverse conditions and ensure all marquees and equipment are safely secured — including gazebo sides, awnings, and weights.
  • Stallholders choosing to pack up early due to weather must notify the Event Manager on duty.
  • Vehicles are not permitted in the market precinct without Management approval.
  • Management accepts no responsibility for loss, damage, or injury resulting from adverse weather.

11. Safety & Equipment

Non-compliance with safety requirements will result in immediate cancellation without credit.

Marquee Weights & Safety Compliance

  • Marquees and gazebos must have a minimum of three (3) weights of at least 15kg each attached at all times, regardless of weather conditions.
  • Umbrellas must have securely fixed weighted bases.
  • Non-compliance may result in immediate removal from trade.

Equipment Standards

  • Stallholders must provide all equipment required for trade.
  • All equipment must be clean, safe, and in good condition. Damaged or unsafe equipment may be refused entry.
  • All equipment must be contained within the booked site area. A 3m×3m booking requires a gazebo no larger than 3m×3m.
  • Management reserves the right to refuse entry or charge additional fees if equipment exceeds the reserved site area.
  • Signage must be safely erected, must not obstruct pedestrian access, and must not contain offensive material.

Stall Presentation

  • Stalls must present professionally at all times — clean, visually appealing, and using table coverings where appropriate.
  • Equipment must be in good condition — no damage, rust, holes, or tears.
  • Music volume must be low and appropriate, with consideration for neighbouring stalls and customers.

Electrical & Test & Tag Compliance

  • Power access is by approval only and is not available at all events or all markets.
  • All electrical equipment and leads must be current test-and-tag compliant.
  • Double adaptors are strictly prohibited.
  • Cords must not create trip hazards.
  • Unsafe electrical equipment will be disconnected immediately.

Generators — Currimundi Twilight & Moffat Beach Street Party

No mains power is available at Currimundi Twilight or Moffat Beach Street Party. Stallholders requiring power at these markets must supply their own generator. Silent generators only — standard petrol generators are not permitted. No exceptions.
  • Generators must be silent/inverter-type and must not create unreasonable noise for neighbouring stallholders or patrons.
  • Generators must be positioned safely within the stallholder's allocated site footprint.
  • All generator electrical leads and equipment must be current test-and-tag compliant.
  • Fuel must be handled and stored safely. Refuelling within the market precinct is prohibited.
  • Generators producing excessive noise or fumes will be required to cease operation immediately.

Smoking Policy

All Caloundra Markets operate as non-smoking and non-vaping precincts under Queensland law. This applies during bump-in and bump-out periods as well as market trading hours.

Prohibited Conduct

The following are prohibited within all market precincts:

  • Smoking and vaping
  • Illicit substances
  • Dangerous goods or hazardous chemicals
  • Unauthorised alcohol sales or consumption
  • Unsafe flames or fires
  • Offensive signage or material
  • Unsafe vehicle operation

Emergency Procedures

  • Follow all directions issued by Wardens, Security, or Market Management.
  • Assist customers calmly and safely and proceed to designated assembly areas.
  • In an emergency: call 000 first, then notify Market Management on 0488 222 805.

Damages

Any damage to Caloundra Markets infrastructure, public spaces, landscaping, or equipment is the financial responsibility of the person(s) responsible.

12. Cleanup & Waste Management

  • Stallholders are responsible for removing all waste generated by their stall.
  • Public bins must not be used for commercial waste. Boxes, cartons, oil, and food waste must be removed from site.
  • Sites must be left clean, tidy, and undamaged.
  • All vendors agree to support market management with clean up and ensure the road is left in the condition that it was when we arrived.

Additional cleaning charges may apply for non-compliance.

13. Food Stall Requirements

Food stallholders must:

  • Hold all required Food Licences and permits, and display licences during trading;
  • Comply with all health, fire, and council regulations;
  • Provide suitable ground coverings where cooking occurs;
  • Maintain appropriate food safety procedures and ensure all staff follow hygiene requirements; and
  • Obtain approval before changing menus or products.

Food vendors are responsible for ensuring all gas, fire, and safety equipment is current and compliant.

14. Insurance & Compliance

Stallholders are solely responsible for obtaining and maintaining all required licences, permits, and approvals relevant to their business.

  • Stallholders must hold current Public and Product Liability Insurance of no less than $20 million, valid Australia-wide.
  • Insurance documentation must be available on site at all times and provided to Management upon request.
  • Updated certificates must be provided to Market Management upon renewal, prior to expiry, as a condition of continued trade.

15. Products & Product Approval

  • Stallholders may only sell products approved by Management. Any changes to product ranges require prior written approval.
  • Market Management reserves the right to limit categories to maintain product diversity.
  • Counterfeit, illegal, unsafe, or prohibited products are strictly prohibited.
  • Food stallholders must hold a current Food Licence and display it at all times.
  • Market Management curates a diverse product mix. A site may not be available if a category is oversupplied.

16. Code of Conduct

Caloundra Markets aims to provide a safe, welcoming, and authentic market experience for the community. All stallholders are required to conduct themselves professionally and respectfully at all times — at the markets, in communications with staff, on social media, and in any public forum.

Expected Behaviour

  • Act respectfully and professionally at all times.
  • Cooperate with staff, neighbouring stallholders, retailers, and the public.
  • Work safely and conduct business honestly and transparently.
  • Refrain from harassment, discrimination, bullying, or intimidation.
  • Avoid profanity, offensive language, or verbal criticism of others or their products.

Unacceptable Behaviour

The following will not be tolerated under any circumstances:

  • Bullying or intimidation of any kind
  • Verbal or physical abuse
  • Discrimination, racism, or sexism
  • Harassment or inappropriate conduct
  • Offensive, insulting, or aggressive language
  • Inappropriate social media conduct
  • Theft or copyright infringement
  • Conduct bringing the market into disrepute

Social Media and Community Conduct

  • Stallholders are encouraged to promote their participation at upcoming markets and tag Caloundra Markets social media pages.
  • Vendors are expected to positively promote the market and what they are offering. Under no circumstances should negative comments or grievances be shared on digital platforms or other channels. Vendors should raise concerns with market management.
  • Public complaints or grievances made on market-owned social media platforms may result in termination of trading privileges.
  • Management may use images of stalls, products, and stallholders for promotional purposes.
  • Market vendors agree to tag and cross promote the market they are attending, and market management agree to share where possible. Please note our social media pages are not managed 24 hours per day and at times messages may be missed. Any concerns please address with market management.

Pets

While customers may attend with pets where permitted, stallholders are discouraged from bringing animals to the market unless approved by Management or required as an assistance animal.

Breaches

All complaints are investigated confidentially and impartially. Breaches may result in verbal or written warnings, suspension, or permanent exclusion from Caloundra Markets.

17. Liability & Indemnity

To the maximum extent permitted by law:

  • Stallholders trade at their own risk.
  • Market Management accepts no responsibility for loss, theft, injury, or damage unless caused by proven negligence.
  • The Caloundra Chamber of Commerce, its operators, servants, agents, and assigns are not liable for loss or damage to stock and/or equipment however caused.
  • Stallholders indemnify the organisers, management, employees, contractors, and agents against all claims arising from their participation in the market, both during and after their period of trade.

18. Grievances & Disputes

Reporting

  • All grievances must be reported immediately to the Market Manager by phone and followed up in writing to admin@caloundramarkets.com.au.
  • Complaints must be factual, detailed, and respectful. Verbal disputes should not be conducted onsite.
  • Complaints will be investigated confidentially and impartially.

Disputes Procedure

  • Market Management will investigate and provide written notice to the stallholder.
  • Stallholders may respond in writing.
  • Appeals may be submitted in writing to the Caloundra Chamber of Commerce. Decisions of the Chamber are final.

19. Market Management Rights

Market Management reserves the right to, without notice:

  • Approve or reject applications
  • Cancel bookings
  • Relocate stalls
  • Remove unapproved products
  • Withdraw power access
  • Request safety or presentation improvements
  • Suspend or remove stallholders for breaches of these Terms & Conditions

20. Updates to Terms & Conditions

  • Caloundra Markets is actively working to improve the stallholder booking and invoicing process and will provide updates as changes occur.
  • Stallholders are responsible for reviewing the current Terms & Conditions published on this website.
  • Caloundra Markets management reserves the right to update these terms at any time.

21. Acceptance

By trading at any Caloundra Market, stallholders acknowledge that they:

  • have read and understood these Terms & Conditions;
  • agree to comply with all market rules and directions; and
  • accept all risks associated with participation.
